Terms, Conditions & Guest Agreement

At SOVEL Hotel , our goal is to provide a seamless, elevated, and transparent guest experience. The following Terms, Conditions, and Guest Agreement outline the policies governing reservations, payments, and stays at our property. By confirming a reservation and receiving a confirmation number, guests acknowledge and accept these terms in full.

Arrival & Stay Information


We look forward to welcoming you on the day of your reservation. To ensure a smooth arrival and departure experience, the following check-in and check-out guidelines apply to all stays. These procedures are designed to maintain operational consistency while providing a comfortable and seamless guest experience.




Check-In Minimum Age & Identification Requirements


Guests must be at least 21 years of age to reserve and check into a room. Valid government-issued photo identification is required upon arrival, and the name on the identification must match both the reservation and the credit card used for payment. Proof of age may be requested as part of the check-in process. These requirements are strictly enforced to ensure compliance with hotel policy and security standards.



Check-In Time & Payment Completion


Standard check-in begins at 4:00 PM local time (EST). Check-in arrangements are finalized upon arrival, and any remaining balance of the room rental amount is due at that time or prior to arrival, depending on the selected rate plan and applicable prepayment or deposit terms. Check-in will be completed only after full payment has been received and the incidental security deposit authorization has been approved. Room keys will be issued once all payment requirements have been satisfied. Any costs associated with lost or unreturned keys may be deducted from the incidental security deposit. During check-in, our front desk team will be pleased to provide information to enhance your stay, including recommendations for nearby dining, attractions, shopping, and nightlife.



Check-Out Time & Departure Procedures


Standard check-out time is 10:00 AM local time. Guests may request a later departure; however, late check-out is subject to availability and occupancy conditions and cannot be guaranteed. Applicable late check-out fees vary depending on the time of departure and prevailing daily rates. Upon departure, room keys must be returned to the Front Desk Receptionist located in the ground-floor lobby. Following check-out, rooms are inspected, and the hotel reserves the right to charge for any damages, missing items, or breakages identified before the room is reoccupied.

Accessibility ADA

SOVEL Hotel Miami is compliant with the Americans with Disabilities Act (ADA). We offer accessible rooms within the hotel ground floor only and subject to availability. Please ensure any requests, reach us by placing it in the comments section of the online reservation form, or by email to Info@SOVELHotel.com after the reservation has been made.

Rate Policies & Cancellation Terms

Rate plans offered include varying levels of flexibility, each governed by the cancellation and payment terms disclosed at the time of booking.

Under the Standard Flexible Rate, reservations may be modified or cancelled within the designated cancellation window specified at the time of purchase, which may range from one to five days prior to arrival depending on seasonal conditions and the selected offer. A deposit equal to one night, including room, applicable taxes, and fees, is due at the time of booking. If a reservation is cancelled or modified outside the permitted cancellation window, the applicable prepayment becomes non-refundable.

Under the Non-Refundable Rate, the full amount of the reservation, including room, taxes, and fees, is due at the time of booking. Reservations under this rate may not be modified or cancelled, and no refunds apply in the event of cancellation, modification, or no-show.

During special events, holidays, or high-demand periods, alternative cancellation windows or payment requirements may apply. The applicable terms presented at the time of booking form part of the confirmed reservation agreement.

Payment Authorization & Processing

 By confirming a reservation, the guest agrees to the payment terms associated with the selected rate plan and authorizes the processing of applicable deposits, scheduled balances, taxes, fees, and incidental charges in accordance with the confirmed booking. Where reservations are made through authorized third-party platforms, payment handling may involve the booking platform and/or its designated payment processor in accordance with that platform’s contractual framework. All transactions are processed in compliance with applicable financial regulations and card network standards governing card-present and card-not-present transactions. Confirmation of a reservation constitutes acknowledgment of the agreed payment structure and validation of the charges processed under those terms 

Refunds, Rate Applicability & Disputed Transactions

Refund eligibility is governed exclusively by the cancellation and payment terms associated with the specific rate plan selected at the time of booking. Each reservation is subject to its individual cancellation window and prepayment structure as disclosed during the booking process and reflected in the confirmation. Where a rate is designated as non-refundable, no refund shall apply except as otherwise required by law.

When a refund is applicable under the confirmed rate policy, it will be processed to the original method of payment in accordance with standard financial procedures. Processing times are subject to the policies of the issuing bank, payment processor, and card network, and may vary beyond the hotel’s direct control.

In circumstances where a payment is formally disputed through a financial institution, the reservation and associated charges will be reviewed in accordance with the agreed rate terms and applicable contractual obligations. Any reconciliation, adjustment, or refund will be administered only after the final determination issued by the relevant payment provider or issuing bank.

Incidental Authorization & Damages

At check-in, a security deposit is required via credit or debit card authorization. This authorization hold does not constitute a charge and is intended to cover incidental expenses, damages, or policy violations during the stay. Authorization holds are typically released within 24 to 48 hours after check-out, subject to inspection and financial batch processing, although final release timing is determined by the guest’s card issuer.

Guests are financially responsible for any damage to hotel property, excessive cleaning requirements, missing items, or policy violations beyond normal wear and tear. The hotel reserves the right to charge the card on file for verified damages or losses identified after departure 

Guest Conduct & Property Policies


Firearms Policy


The property is private premises. Any guest or visitor who possesses a firearm while on hotel grounds is solely responsible for complying with all applicable federal, state, and local laws governing firearm possession and transport.

Guests who are lawfully permitted to possess a firearm may bring it onto the premises strictly for storage purposes. Firearms must remain unloaded at all times and secured in a locked, hard-sided container provided by the guest when being transported to or from a guest room. While on the premises, firearms must remain securely stored either in a locked guest room or within a locked personal vehicle, except during direct transport to or from the room.

This policy applies to all firearms, regardless of type, and to all guests and visitors, including those holding valid licenses or permits. The only exception applies to on-duty law enforcement officers and designated military personnel required to carry firearms in the performance of official duties.

Failure to comply with this policy may result in immediate removal from the property without refund.



Guest Safety & Privacy


To maintain guest safety and privacy, hotel staff will not disclose a guest’s identity, room number, or presence to any individual except authorized law enforcement officials. This policy includes message handling and telephone communications. Guests are responsible for informing personal contacts of their presence and room details if they wish to receive calls or visits.

For security purposes, surveillance cameras operate throughout the premises and record activity within public areas of the property.



Package & Mail Policy


The hotel does not accept package deliveries or personal mail on behalf of guests. Any packages received may be returned to the delivery carrier or otherwise handled at the hotel’s discretion. The hotel assumes no responsibility or liability for lost, delayed, damaged, or discarded packages or mail items addressed to guests.



In-Room Consumables & Minibar


Guest rooms may include snack items, beverages, or other in-room consumables provided for convenience. Unless expressly stated, these items are not included in the room rate and are offered as optional, for-purchase amenities.

Rooms are inspected prior to check-in. At departure, any item found opened, consumed, missing, or tampered with—unless documented as complimentary—will be considered consumed and charged to the guest’s folio accordingly. Guests may request removal of in-room consumables at check-in, subject to availability and operational approval. Guests are responsible for reporting any personal consumption during their stay directly to the front desk.

If consumption is not reported and items are missing or used at the time of inspection, charges will be applied based on housekeeping and inventory records and reflected as incidental charges on the final folio. Once check-out is completed, the status of in-room consumables is considered final. Food, beverage, and minibar items are treated as final-sale products and are not subject to post-departure dispute.

Completion of a reservation constitutes acceptance of these terms, regardless of the booking channel used.

Operational Adjustments, Relocation & Liability Limitations

 

Reservation Relocation & Operational Transfers


In rare and unforeseen circumstances, a reservation may require relocation due to operational necessity, maintenance emergencies, force majeure events, safety concerns, or other conditions beyond reasonable control. As a private property, the hotel reserves the right to decline accommodation, modify, or cancel a reservation—including upon arrival—when management determines such action is necessary to preserve operational integrity, safety, or service standards. Specific reasons for relocation decisions are not subject to disclosure.

When relocation is required, reasonable efforts will be made to notify the guest in advance whenever possible. In urgent or last-minute situations, notification may occur upon arrival.

Where a relocation occurs, the hotel will arrange alternative accommodations of comparable value in terms of room category and included amenities. If an identical match is not available, the next closest available category may be provided without additional charge. Relocation will generally occur within the City of Miami and typically within a 5 to 10-mile radius, unless otherwise agreed.

If relocation is initiated after a guest has arrived at the property, reasonable local transportation costs to the new accommodation will be covered. Costs related to travel to the original property are not reimbursable. If relocation is arranged prior to arrival, transportation to the alternative property remains the guest’s responsibility.

The hotel’s financial responsibility for relocation will not exceed fifty percent above the original reservation value. If comparable accommodation cannot be secured within this threshold, the hotel may elect to cancel the reservation and issue a refund in accordance with the original method of payment, after which the guest will be responsible for arranging alternate accommodations.

Refunds issued due to relocation will be processed to the original payment method and may require up to thirty business days for reconciliation and financial processing. Any costs not directly associated with the original reservation—including independently booked upgrades, extended stays, or third-party services—are not covered.

Confirmation of a reservation constitutes acknowledgment and acceptance of this policy.

Guest Conduct & Property Policies

 

Guest Room & Hotel Property Care


Guest rooms are thoughtfully furnished with amenities to enhance comfort during your stay. All items provided within the room, including linens, towels, furnishings, and equipment, are intended for in-room use only and must remain on the premises. Toiletries or items specifically designated as complimentary by hotel staff at check-in are excluded from this policy. Removal of hotel property from guest rooms or common areas, including the lobby and restrooms, may result in replacement charges assessed to the guest’s account.



Non-Smoking Policy


The property is entirely non-smoking. Smoking is strictly prohibited inside guest rooms and throughout indoor common areas of the building. At check-in, guests are required to acknowledge this policy in writing. Evidence of smoking within a guest room or any interior or exterior common areas, including window ledges, stairways, or near the reception area, will result in a $500 cleaning and remediation fee. This policy aligns with applicable health and safety regulations concerning smoking in public accommodations.



Occupancy, Conduct & Reservation Integrity


Each reservation is valid only for the number of guests confirmed at the time of booking. Occupancy limits must be strictly observed, and any additional guests must be approved in advance. Rooms may not be sublet, reassigned, or occupied by individuals not listed in the reservation. In-room visits must not exceed the maximum occupancy permitted for the room at any time. Additional nightly charges may apply for approved extra guests and may be charged against the incidental deposit.

Excessive noise, particularly during evening and nighttime hours, is not permitted. Guests are expected to respect the comfort of neighboring occupants and the surrounding community. Quiet hours are observed between 10:00 PM and 8:00 AM local time. Late-night gatherings or disruptive behavior are not allowed.

The hotel reserves the right to terminate a reservation immediately, without refund, if occupancy limits are exceeded, unauthorized guests remain overnight, the room is sublet, excessive noise persists, or any policy violation compromises the safety or integrity of the property. If instructed by hotel staff to vacate the premises due to a policy violation, such instruction is final and must be followed immediately.


Property Address & Guest Responsibility


Guest rooms are located at 439 Northwest 4th Avenue, Miami, Florida 33128. All guests are expected to conduct themselves responsibly and in a manner that respects both the property and the surrounding neighborhood. The hotel is not liable for lost, stolen, or forgotten personal belongings left on the premises.



Damages & Financial Responsibility


Guests are expected to handle the room, furnishings, and equipment with care throughout their stay. Any damages, breakages, or maintenance issues should be promptly reported to hotel staff. Guests are financially responsible for damage to the room or property resulting from their own actions or those of any accompanying individuals.

A preliminary inspection of the room is conducted at check-out, followed by a detailed review prior to reoccupation. Any damage or loss exceeding normal wear and tear will be documented, and a detailed invoice for repair or replacement costs will be issued. Applicable charges may be deducted from the incidental deposit where possible, or billed separately if they exceed the deposit amount or are identified after its release. Guests are encouraged to notify the hotel immediately after departure if any accidental damage occurred during their stay.

Pet & Property Policies

 

Reservation Confirmation


Reservations are made by room type rather than by specific room number. Each room category includes accommodations of similar size and features, although interior design elements may vary. A reservation becomes confirmed upon receipt of the required advance payment, which may consist of either the first night’s rate or the full stay amount, depending on the cancellation policy associated with the selected rate plan. Payments are accepted via debit or credit card. A booking is considered finalized only after a confirmation email has been issued.



Amenities & Service Availability


The property offers a range of amenities designed to enhance the guest experience. Certain amenities are provided as complimentary services, while others are available as added conveniences based on availability and operational conditions. All amenities, including but not limited to breakfast, Wi-Fi, parking, coffee stations, early check-in, luggage storage, and access to common areas, are considered non-essential services and do not form part of the core lodging agreement.

Amenity availability may change without prior notice due to operational needs, seasonal demand, or management discretion. The absence, suspension, or modification of any amenity does not constitute grounds for refund, cancellation, or waiver of reservation penalties. The hotel reserves the right to add, modify, or discontinue amenities at any time. While courtesy updates may be provided when possible, confirmation of amenity availability prior to arrival is not guaranteed. Guests with specific questions regarding amenities are encouraged to contact the hotel directly.



Stay Extensions


Guests wishing to extend their stay may request an extension prior to arrival or during their current stay, subject to availability. Requests made during an active stay must be submitted at least 24 hours before the scheduled check-out date. The hotel will make reasonable efforts to accommodate extension requests, which may include relocation to a comparable room category if necessary.



Children’s Policy


One child under the age of seven may stay free of charge when accompanied by a registered adult. Cribs and additional arrangements are subject to availability. Guests are encouraged to inquire in advance regarding applicable charges or accommodations for children.



Pet Policy


Dogs are welcome at the property, with a maximum of two dogs permitted per room. Pets must remain leashed in outdoor areas and are not permitted in the lobby due to health regulations. For the comfort and safety of all guests, pets may not be left unattended in guest rooms at any time.

A $50 incidental authorization is required via credit card at check-in to cover potential pet-related incidents. In addition, a pet fee of $20 per night, per stay, applies. If excessive shedding, damage, or cleaning beyond standard maintenance is required, a $100 cleaning fee may be charged to the card on file. Any damage to property or furnishings caused by a pet will result in additional charges assessed at market replacement value.

Following check-out, any remaining authorized funds will be released in accordance with standard banking procedures. Release timelines may vary by financial institution and may take up to ten business days to reflect in the guest’s account.

Cats, venomous animals, and exotic species are not permitted on the property. Pets must be disclosed and registered with the Front Desk at check-in. Unauthorized pets in guest rooms will result in a $100 fee and may require immediate removal of the animal from the premises.

Website User Agreement

Use of this website (the “Site”) and any related digital services is governed by these Terms, Conditions & Guest Agreement. By accessing, browsing, or using this Site in any manner, you acknowledge that you have read, understood, and agreed to be bound by the terms set forth herein.

If you do not agree with these terms, you should discontinue use of the Site immediately. This Site is intended for individuals who are at least eighteen (18) years of age and legally capable of entering into binding agreements.

The hotel reserves the right to modify, update, or revise website content, functionality, and terms at any time without prior notice. Continued use of the Site following any updates constitutes acceptance of those revisions.
